Why should you sync BambooHR time off requests to Outlook Calendar automatically?

Time off affects staffing and scheduling. Employees request PTO in BambooHR, but they're in Outlook to plan meetings and coordinate. When employees have to enter the same time off in both systems, they inevitably forget to enter it or make mistakes. Then meetings get clumsy and wasteful because critical attendees are out and no one knew about it.

We think the best solution is to enter time off once in BambooHR and update Outlook Calendar automatically.

Without an automated update:

  • Approved time off may never appear in Outlook. Co-workers can't plan effectively.

How does BambooHR to Outlook Calendar work?

AutoIDM's BambooHR to Outlook Calendar sync reads approved time-off requests and company holidays. Then we match the BambooHR employee to the employee's Microsoft account and use Microsoft Graph to create an all-day Out of Office event on the correct calendar.

Each time we sync, we compare the BambooHR records with the Outlook events managed by the integration. New requests create events. Date changes update the existing event, and canceled requests remove it. Employee-created calendar events are left alone.

The result: less wasted time, clear visibility, and predictable availability.

What rules need to be decided before the sync starts?

Decide which records should reach Outlook and what other employees can see:

  • Request status - most companies sync only approved requests.
  • Leave types - decide whether every type of leave belongs on the calendar.
  • Company holidays - define which employees receive each holiday.
  • Privacy - use a generic Out of Office subject when the leave reason is sensitive.
  • Source ownership - employees should correct managed events in BambooHR, not Outlook.

Outlook Calendar is the calendar in Microsoft 365 and Exchange Online. Microsoft Graph lets an authorized application create and maintain events on user calendars. That is what turns an approved HR record into availability that coworkers can see when they schedule a meeting.

What software do I need for BambooHR to Outlook Calendar?

Should PTO events invite the manager?

An event on the employee's calendar is usually enough for scheduling visibility, but we can handle more complex scenarios. For example, we can add an employee's manager as an attendee, and they'll receive an invitation and updates each time the event changes.

What if Viewpoint Vista is the source of time off?

Can I build a BambooHR to Outlook Calendar integration myself?

Yes. Here are the important parts.

Pull approved time off from BambooHR: Start with BambooHR's List Time Off Requests endpoint. It requires a start and end date and can filter on statuses such as approved, denied, requested, or canceled. Keep the immutable BambooHR employee ID with every request. If company holidays are in scope, include the Who's Out data as a second source because a holiday can apply to many employees.

Match employees to mailboxes: Store the BambooHR employee ID in the Microsoft user's `employeeId` attribute or maintain another durable mapping. Names and email addresses can change. Before creating an event, verify that the employee has a matching Microsoft user and an Exchange Online mailbox.

Create and reconcile Outlook events: Microsoft Graph supports creating events on a user's calendar. For all-day PTO, set `isAllDay` to true, use midnight in one time zone for both boundaries, make the end date exclusive, and set `showAs` to `oof`. Store the BambooHR request ID with the event so later runs can update or delete the same record.

Limit calendar permissions: Unattended calendar writes use the Microsoft Graph `Calendars.ReadWrite` application permission. That permission can reach many mailboxes, so work with your Microsoft 365 administrator to restrict the application's mailbox scope using Exchange Online RBAC for Applications.

Operationalize: Test creates, date changes, cancellations, company holidays, missing mailboxes, and API failures. Add monitoring and a report of every change. Keep monitoring after rollout so later changes and cancellations stay correct.
