Why should you sync Viewpoint Vista time off requests to Outlook Calendar automatically?

Time off affects staffing and scheduling. Employees request leave in Vista, but they're in Outlook to plan meetings and coordinate. When employees have to enter the same time off in both systems, they inevitably forget to enter it or make mistakes. Then meetings and project schedules get disrupted because critical employees are out and no one knew about it.

How does Viewpoint Vista to Outlook Calendar work?

AutoIDM's Viewpoint Vista to Outlook Calendar sync reads approved time-off requests. Then we match the Vista payroll employee to the employee's Microsoft account and use Microsoft Graph to create an Out of Office event on the correct calendar.

Each time we sync, we compare the Vista records with the Outlook events managed by the integration. New requests create events. Date changes update the existing event, and canceled requests remove it. Employee-created calendar events are left alone.

The result: less wasted time, clear visibility, and predictable availability.

How should partial-day leave appear in Outlook?

Vista tracks partial-day leave as a number of hours without a start time. Four hours of leave doesn't tell us whether the employee is out in the morning or afternoon. During the project, you decide whether partial leave creates an all-day event, uses a standard time window, or stays manual. We won't invent a start time that Vista doesn't have.

What calendar rules need to be decided?

Decide which records should reach Outlook and what other employees can see:

• Approval status - most teams sync only approved requests.
• Partial days - decide how leave without a start time should appear.
• Privacy - use a generic Out of Office subject so FMLA, unpaid leave, or medical details are not exposed.
• Source ownership - changes made in Outlook should not overwrite Vista.
• Payroll scope - choose which payroll companies and employees should be included.

Pull approved leave from Vista: Your source options depend on how Vista is deployed. Trimble Construction One customers can review the Vista API developer documentation, but should confirm that their version exposes the required HR Management leave resources. An on-premises deployment may use an approved read-only database connection. Confirm that you can read the request status, start and end dates, total hours, per-day details, leave code, and the employee link. Match employees to Microsoft accounts: Use the Vista payroll employee number as the durable key and store the same value in the Microsoft user's `employeeId`. Do not build the long-term match on a name or email address. Report missing and duplicate matches before writing any events.

Create and reconcile Outlook events: Use Microsoft Graph to create events on user calendars. An all-day event needs midnight boundaries in the same time zone, an exclusive end date, and `showAs` set to `oof`. Keep the Vista leave-request ID with the event so the integration can update or delete the same record later.

Protect leave privacy: Do not put the raw leave code or notes on a widely visible calendar unless HR approves it. A generic Out of Office subject is usually enough for scheduling. If managers need more detail, keep that detail in Vista or use a separate access-controlled process.

Limit calendar permissions: `Calendars.ReadWrite` is a powerful Microsoft Graph application permission. Work with your Microsoft 365 administrator to restrict the application's mailbox scope using Exchange Online RBAC for Applications.

Operationalize: Test approvals, date changes, cancellations, partial days, and missing mailboxes. Add monitoring and a report of each change. Keep monitoring after rollout so later changes and cancellations stay correct.
