How do you automate ComputerEase to Outlook Calendar?

AutoIDM syncs time off from Deltek ComputerEase to Outlook Calendar, keeping everyone on the same page. New approvals create Out of Office events, date changes update them, and cancellations remove them.

Your team spends a few hours defining how full-day and partial-day leave should appear. We build the integration, monitor it, and support it after deployment.

Why should you sync ComputerEase time off to Outlook Calendar automatically?

Time off affects staffing and scheduling. Employees' time off lives in ComputerEase, but they're in Outlook to plan meetings and coordinate. When employees have to enter the same time off in both systems, they inevitably forget to enter it or make mistakes. Then meetings and project schedules get disrupted because critical employees are out and no one knew about it.

We think the best solution is to enter time off once in ComputerEase and update Outlook Calendar automatically.

Without an automated update:

  • Approved time off may never appear in Outlook. Co-workers can't plan effectively.
  • Changes to time off plans get out of sync.
  • Manual calendar exports don't update when an employee changes or cancels a request.

AutoIDM will create, update, and remove Outlook events directly from ComputerEase so calendars show exactly when people are available. ComputerEase is the system of record for time off, so why wouldn't you automatically sync events?

How does ComputerEase to Outlook Calendar work?

AutoIDM's ComputerEase to Outlook Calendar sync reads approved time-off records. Then we match the ComputerEase employee to the employee's Microsoft account and use Microsoft Graph to create an Out of Office event on the correct calendar.

Each time we sync, we compare the ComputerEase records with the Outlook events managed by the integration. New records create events. Date changes update the existing event, and canceled records remove it. Employee-created calendar events are left alone.

The result: less wasted time, clear visibility, and predictable availability.

What calendar rules need to be decided?

Decide which records should reach Outlook and what other employees can see:

  • Record status: most teams sync only approved time off.
  • Partial days: decide how partial-day leave should appear on the calendar.
  • Privacy: use a generic Out of Office subject so leave details are not exposed.
  • Source ownership: changes made in Outlook should not overwrite ComputerEase.
  • Employee scope: choose which employees should be included.

What about getting everyone on the same page in HR and IT? What's the project plan look like?

Getting the left hand to know what the right hand is doing in business is complicated. At AutoIDM, we have established a proven process to make sure everyone in your business is on the same page. The ComputerEase to Outlook Calendar (and our general integration process) is adjusted depending on your needs, but it follows these main points.

  1. Initial Meeting - (30 min) Bring all stakeholders together to align on the timeline, expectations, and responsibilities.
  2. Access - (30 min) Architect a secure solution that gives AutoIDM access to what we need while keeping your IT team in control.
  3. Business Rules - (1 hour) Align ComputerEase with Outlook Calendar, build the rule set, and define the testing plan.
  4. Testing - (~2 hours) Iterate with your champion to validate the integration and resolve issues quickly.
  5. Deployment - Final deploy and full support for any adjustments or changes. ComputerEase to Outlook Calendar is now up and running.

This process works because our integrations are built specifically for the way your team uses ComputerEase and Outlook Calendar.

What is ComputerEase?

Deltek ComputerEase is construction accounting software purpose-built for contractors, combining job costing, project management, accounting, payroll, and equipment management in one system. For this integration, ComputerEase is the source of truth for employee time off.

What is Outlook Calendar?

Outlook Calendar is the calendar in Microsoft 365 and Exchange Online. Microsoft Graph gives an authorized application the ability to create, update, and delete events on user calendars. That is what makes an approved ComputerEase record visible to the Scheduling Assistant and the rest of the team.

What features does AutoIDM have?

AutoIDM automates the process your teams already use. Time off stays in ComputerEase. Everyone keeps planning work in Outlook.

Here's a short list of what we can do for you:

  1. Create Out of Office events from ComputerEase time off records.
  2. Update events when employees modify time off.
  3. Remove events when records are canceled or no longer approved.
  4. Match ComputerEase employees to Microsoft accounts by employee ID.
  5. Handle full-day and partial-day time off based on your business rules.
  6. Use generic subjects when time off privacy matters.
  7. Monitor failures and maintain the integration for you.

What software do I need for ComputerEase to Outlook Calendar?

You'll need ComputerEase with time off data and Microsoft 365 mailboxes in Exchange Online. How we read the ComputerEase data depends on your deployment. The rest is up to our integration team.

What if something breaks?

As a fully managed service, we reach out if we see an error. If you notice an issue, submit a ticket to our helpdesk at support@autoidm.com.

What if Viewpoint Vista is the source of time off?

The Outlook rules stay similar, but the source data is different. Vista tracks partial-day leave as a number of hours without a start time. Read our Viewpoint Vista to Outlook Calendar guide for more information.

Can I build a ComputerEase to Outlook Calendar integration myself?

Yes. Here are the important parts.

Pull time off from ComputerEase: Deltek publishes a ComputerEase REST Service for integration developers. Depending on your ComputerEase version and hosting, your options can also include file-based imports or working with Deltek ComputerEase support to enable API access. Confirm that you can read the leave dates, hours, leave code, and the employee link.

Match employees to Microsoft accounts: Use the ComputerEase employee ID as the durable key and store the same value in the Microsoft user's `employeeId`. Do not build the long-term match on a name or email address. Report missing and duplicate matches before writing any events.

Create and reconcile Outlook events: Use Microsoft Graph to create events on user calendars. An all-day event needs midnight boundaries in the same time zone, an exclusive end date, and `showAs` set to `oof`. Keep the ComputerEase record ID with the event so the integration can update or delete the same record later.

Protect leave privacy: Do not put the raw leave code or notes on a widely visible calendar unless HR approves it. A generic Out of Office subject is usually enough for scheduling. If managers need more detail, keep that detail in ComputerEase or use a separate access-controlled process.

Limit calendar permissions: `Calendars.ReadWrite` is a powerful Microsoft Graph application permission. Work with your Microsoft 365 administrator to restrict the application's mailbox scope using Exchange Online RBAC for Applications.

Operationalize: Test approvals, date changes, cancellations, partial days, and missing mailboxes. Add monitoring and a report of each change. Keep monitoring after rollout so later changes and cancellations stay correct.

Does doing all of this yourself seem like something you shouldn't be supporting? That's what AutoIDM is here for. AutoIDM is a done-for-you service: no software to train on, no software maintenance, and no software configuration your team needs to worry about.
