Why should you sync NetSuite time off to Outlook Calendar automatically?

Time off affects staffing and scheduling. Employees enter time off in NetSuite, but they're in Outlook to plan meetings and coordinate. When employees have to enter the same time off in both systems, they inevitably forget to enter it or make mistakes. Then meetings get disrupted because critical employees are out and no one knew about it.

We think the best solution is to enter time off once in NetSuite and update Outlook Calendar automatically.

Without an automated update:

  • Approved time off may never appear in Outlook. Co-workers can't plan effectively.
  • Changes to time off plans get out of sync.
  • Manual calendar exports don't update when an employee changes or cancels a request.

How does NetSuite to Outlook Calendar work?

AutoIDM's NetSuite to Outlook Calendar sync reads approved time-off records. Then we match the NetSuite employee to the employee's Microsoft account and use Microsoft Graph to create an Out of Office event on the correct calendar. We pull only the fields the integration needs. Sensitive payroll data never leaves NetSuite.

Each time we sync, we compare the NetSuite records with the Outlook events managed by the integration. New records create events. Date changes update the existing event, and canceled records remove it. Employee-created calendar events are left alone.

The result: less wasted time, clear visibility, and predictable availability.

What calendar rules need to be decided?

Decide which records should reach Outlook and what other employees can see:

  • Record status: most teams sync only approved time off.
  • Leave types: decide whether every type of leave belongs on the calendar.
  • Privacy: use a generic Out of Office subject so leave details are not exposed.
  • Source ownership: changes made in Outlook should not overwrite NetSuite.
  • Employee scope: choose which employees should be included.

Outlook Calendar is the calendar in Microsoft 365 and Exchange Online. Microsoft Graph gives an authorized application the ability to create, update, and delete events on user calendars. That is what makes an approved NetSuite record visible to the Scheduling Assistant and the rest of the team.

Can I build a NetSuite to Outlook Calendar integration myself?

Yes. Here are the important parts.

Pull time off from NetSuite: NetSuite has many data integration options; we use the SuiteTalk REST API. Plan on OAuth 2.0 for authentication: NetSuite is phasing out token-based authentication (TBA) for new integrations. A saved search is another option: Oracle documents a SuiteScript task that runs a saved search and exports the result to a CSV file. Pull only the fields the integration requires and leave sensitive payroll data alone.

Match employees to Microsoft accounts: Store the NetSuite employee ID in the Microsoft user's `employeeId` attribute so the link survives name and email changes. Do not build the long-term match on a name or email address. Report missing and duplicate matches before writing any events.

Create and reconcile Outlook events: Use Microsoft Graph to create events on user calendars. An all-day event needs midnight boundaries in the same time zone, an exclusive end date, and `showAs` set to `oof`. Keep the NetSuite record ID with the event so the integration can update or delete the same record later.

Protect leave privacy: Do not put the raw leave type or notes on a widely visible calendar unless HR approves it. A generic Out of Office subject is usually enough for scheduling. If managers need more detail, keep that detail in NetSuite or use a separate access-controlled process.

Limit calendar permissions: `Calendars.ReadWrite` is a powerful Microsoft Graph application permission. Work with your Microsoft 365 administrator to restrict the application's mailbox scope using Exchange Online RBAC for Applications.

Operationalize: Test approvals, date changes, cancellations, and missing mailboxes. Add monitoring and a report of each change. Keep monitoring after rollout so later changes and cancellations stay correct.
