Paylocity to Outlook Calendar - Approved Time Off on the Calendar
IntegrationSync approved Paylocity time off and company holidays to Outlook Calendar so employees enter PTO once and later changes or cancellations stay current automatically.

How do you automate Paylocity to Outlook Calendar?
AutoIDM syncs time off from Paylocity to Outlook Calendar, keeping everyone on the same page. New approvals create Out of Office events, date changes update them, and cancellations remove them.
Your team spends a few hours defining the rules and testing the results. We build the integration, monitor it, and support it after deployment.
Schedule a meetingWhy should you sync Paylocity time off requests to Outlook Calendar automatically?
Time off affects staffing and scheduling. Employees request PTO in Paylocity, but they're in Outlook to plan meetings and coordinate. When employees have to enter the same time off in both systems, they inevitably forget to enter it or make mistakes. Then meetings get clumsy and wasteful because critical attendees are out and no one knew about it.
We think the best solution is to enter time off once in Paylocity and update Outlook Calendar automatically.
Without an automated update:
- Approved time off may never appear in Outlook. Co-workers can't plan effectively.
- Changes to time off plans get out of sync.
- Company holidays aren't obvious, and events are scheduled when no one is around.
AutoIDM will create, update, and remove Outlook events directly from Paylocity so calendars show exactly when people are available. Paylocity is the system of record for time off, so why wouldn't you automatically sync events?
How does Paylocity to Outlook Calendar work?
AutoIDM's Paylocity to Outlook Calendar sync reads approved time-off requests and company holidays. Then we match the Paylocity employee to the employee's Microsoft account and use Microsoft Graph to create an all-day Out of Office event on the correct calendar.
Each time we sync, we compare the Paylocity records with the Outlook events managed by the integration. New requests create events. Date changes update the existing event, and canceled requests remove it. Employee-created calendar events are left alone.
The result: less wasted time, clear visibility, and predictable availability.
What rules need to be decided before the sync starts?
Decide which records should reach Outlook and what other employees can see:
- Request status: most companies sync only approved requests.
- Leave types: decide whether every type of leave belongs on the calendar.
- Company holidays: define which employees receive each holiday.
- Privacy: use a generic Out of Office subject when the leave reason is sensitive.
- Source ownership: employees should correct managed events in Paylocity, not Outlook.
What about getting everyone on the same page in HR and IT? What's the project plan look like?
Getting the left hand to know what the right hand is doing in business is complicated. At AutoIDM, we have established a proven process to make sure everyone in your business is on the same page. The Paylocity to Outlook Calendar (and our general integration process) is adjusted depending on your needs, but it follows these main points.
- Initial Meeting - (30 min) Bring all stakeholders together to align on the timeline, expectations, and responsibilities.
- Access - (30 min) Architect a secure solution that gives AutoIDM access to what we need while keeping your IT team in control.
- Business Rules - (1 hour) Align Paylocity with Outlook Calendar, build the rule set, and define the testing plan.
- Testing - (~2 hours) Iterate with your champion to validate the integration and resolve issues quickly.
- Deployment - Final deploy and full support for any adjustments or changes. Paylocity to Outlook Calendar is now up and running.
This process works because our integrations are built specifically for the way your team uses Paylocity and Outlook Calendar.
What is Paylocity?
Paylocity is a modern cloud-based payroll and human capital management (HCM) platform, popular with small and mid-sized businesses. For this integration, Paylocity is the system of record for whether a time-off request is approved, changed, or canceled.
What is Outlook Calendar?
Outlook Calendar is the calendar in Microsoft 365 and Exchange Online. Microsoft Graph lets an authorized application create and maintain events on user calendars. That is what turns an approved HR record into availability that coworkers can see when they schedule a meeting.
Microsoft Graph event documentationWhat features does AutoIDM have?
AutoIDM's solution automates your existing process. There is no new application for employees to learn. HR keeps approving time off in Paylocity, and everyone else keeps using Outlook.
Here's a short list of what we can do for you:
- Create Out of Office events from Paylocity time off requests.
- Update events when employees modify time off.
- Remove events when requests are canceled or no longer approved.
- Add company holidays to eligible employee calendars.
- Match Paylocity employees to Microsoft accounts with a stable employee ID.
- Use generic subjects when time off privacy matters.
- Monitor failures and maintain the integration for you.
What software do I need for Paylocity to Outlook Calendar?
You'll need Paylocity and Microsoft 365 mailboxes in Exchange Online. The integration also needs approved read access to Paylocity time off and scoped calendar access in Microsoft 365.
What if something breaks?
As a fully managed service, we reach out if we see an error. If you notice an issue, submit a ticket to our helpdesk at support@autoidm.com.
Should PTO events invite the manager?
An event on the employee's calendar is usually enough for scheduling visibility, but we can handle more complex scenarios. For example, we can add an employee's manager as an attendee, and they'll receive an invitation and updates each time the event changes.
What if BambooHR is the source of time off?
The Outlook rules stay similar, but the source data is different. Read our BambooHR to Outlook Calendar guide for more information.
Can I build a Paylocity to Outlook Calendar integration myself?
Yes. Here are the important parts.
Pull approved time off from Paylocity: Review Paylocity's API documentation here. Note that API access isn't self-service: a company admin submits a web services access request through your Paylocity account manager, and Paylocity issues OAuth client credentials once approved. At AutoIDM we use a regular HTTP client library, specifically Python's requests library. Keep the Paylocity employee ID with every request.
Match employees to mailboxes: Store the Paylocity employee ID in the Microsoft user's `employeeId` attribute or maintain another durable mapping. Names and email addresses can change. Before creating an event, verify that the employee has a matching Microsoft user and an Exchange Online mailbox.
Create and reconcile Outlook events: Microsoft Graph supports creating events on a user's calendar. For all-day PTO, set `isAllDay` to true, use midnight in one time zone for both boundaries, make the end date exclusive, and set `showAs` to `oof`. Store the Paylocity record ID with the event so later runs can update or delete the same record.
Limit calendar permissions: Unattended calendar writes use the Microsoft Graph `Calendars.ReadWrite` application permission. That permission can reach many mailboxes, so work with your Microsoft 365 administrator to restrict the application's mailbox scope using Exchange Online RBAC for Applications.
Operationalize: Test creates, date changes, cancellations, company holidays, missing mailboxes, and API failures. Add monitoring and a report of every change. Keep monitoring after rollout so later changes and cancellations stay correct.
Does doing all of this yourself seem like something you shouldn't be supporting? That's what AutoIDM is here for. AutoIDM is a done-for-you service: no software to train on, no software maintenance, and no software configuration your team needs to worry about.
